FAQ

When you step on stage, here’s what’s waiting for you:

  • Confidence monitors showing your current slide and notes
  • Countdown clock
  • Clicker
  • Wireless headset mic

Just show up—we’ll get you ready for action.

* Barcamp rooms have a more basic setup: two handheld mics and no slides.*

  • Bio: Submit ASAP. We promote speakers as we go—the earlier you send us your details, the better your visibility.
  • Session title and abstract: Also ASAP, but really due by December 30. Even if you don’t have one right now, it would be fantastic if you can add a placeholder so we can put it on the agenda—which you can update later on.
  • Presentations: Due Thursday, March 12, 2026.

Why so early when the event’s in March? Because we love to promote you far and wide to help build the biggest possible audience. (Don’t believe us? See for yourself on LinkedInInstagram, and YouTube.)

We can only accept PowerPoint files in 16:9 format.

Uploads open Tuesday, March 3, with the final deadline on Thursday, March 12, 2026.

You’ll receive an email at the end of February with upload details, including the exact file name structure you must use. Please name your presentation exactly as instructed so we can easily find it.

Once we’re at the venue and beginning technical rehearsals, all presentations are loaded into the main production system and we cannot make last-minute changes.

* Barcamp rooms are open-conversation spaces with two handheld mics only. Presentations aren’t used there to keep the discussions flowing.

It depends.

Main stages offer limited 7–10 minute rehearsal slots so you can get familiar with the tech setup. These aren’t for full run-throughs, and we can’t make deck changes during rehearsals.

Academy, Workshop, and Barcamp rooms don’t have rehearsal slots.

You’ll get an email around two weeks before the event with a sign-up link. Slots are first come, first served.

For technical reasons, we can’t use personal laptops on the main stages. However, you’re welcome to bring your own for Academy or Workshop rooms—just let us know in advance.

If your deck includes video, please:

  • Embed it directly in PowerPoint (no streaming links).
  • When you upload, include a backup video file named exactly the same as your presentation.

Avoid using YouTube or Google Drive links. If you export to PowerPoint from Google Slides, double-check your video isn’t linking externally.

Stage locations and check-in points may change year to year. You’ll get an email a few weeks before CloudFest with your stage info, maps, and check-in details.

Please arrive 30 minutes before your session so we can get you set up and ready to rock.

All main stages have video cameras rolling. Academies, Workshops, and Barcamps are not recorded.

Recordings are included in Diamond-tier partner packages or if pre-arranged in your contract. If not, they can be purchased—contact your Partnership account rep.

Great question! CloudFest attendees love thought leadership—not sales pitches. You can absolutely include your product/service, just make it part of a useful story or insight that informs and entertains the community.
